Your payment card

Add or update the card Footer365 charges for your monthly invoice, and what happens when it is about to expire.

Last checked against Footer365 on 26 October 2026

If Footer365 invoices you directly, your monthly invoice is paid by card. This article shows you how to add or change the card, and how Footer365 warns you before it expires.

If you buy through a reseller, you do not need a card here. Your reseller bills you, and the Payment method page says so.

Who can do this

You need the Manage billing permission to see Payment method in the sidebar. The built-in Billing role and Super Admins have it. People who can only view billing can see invoices but not the card.

Add or update your card

  1. Go to Billing > Payment method (open it).
  2. Under Card on file, select Add a card, or Update card if one is already saved.
  3. You are taken to Stripe's secure hosted page. Enter the card details and confirm.
  4. You come back to the portal with a message that the card is saved. It can take a moment to appear on the page.

Footer365 never sees or stores your full card number. The page shows only the card type, the last four digits and the expiry date, for example "Visa ending 4242 (exp 08/2027)".

If you close the Stripe page without finishing, you come back to the portal and see "Card setup was cancelled." Nothing is changed.

When the card is charged

Footer365 raises your invoice on the first of each month, in advance, and charges the card on file at the same time. You get a receipt by email when the payment goes through. Your invoices are under Billing > Invoices. See Invoices and VAT.

During a free trial, adding a card does not charge anything. Billing starts only when the trial ends. See Your free trial.

Updated agreements during a free trial

If Footer365 has updated its agreements while your organisation is in its free trial, or after the trial ended without a card, the Card on file card shows Please accept the updated agreements. above the button to add a card. Adding a card is how your organisation becomes a paying customer, so Footer365 asks a Super Admin, or anyone whose role can manage billing, to accept the updated agreements first, and you know the terms you start paying on. Select Review and accept to read and accept them. You can still add a card without accepting them: they then reach your organisation on the date the review page shows. See Your agreements and how changes to them work.

Card expiry warnings

Footer365 watches the expiry date of the card on file so that a payment does not fail because the card has run out.

  • By email: your billing contact gets a warning 30, 14 and 7 days before the end of the card's expiry month.
  • In the portal: from 30 days before the card expires, a warning triangle appears next to Payment method in the sidebar. Hover over it to see "Card expiring soon". It also shows "No card on file" if no card has been saved.

To clear the warning, update the card as above.

Some banks send Stripe new details automatically when they replace a card. When that happens, Footer365 updates the card on file for you and you will see the new expiry date on the page.

If a payment fails

If a charge is declined, your billing contact gets an email and the invoice is marked Overdue. Footer365 tries the card again on a set schedule. Update your card as soon as you can, so the next attempt succeeds. See Missed payments for the full timeline.

Good to know

  • Billing emails go to the accounts contact under Contacts on Account > Settings, or to the account owner when there is none. See Company settings.
  • Card changes are recorded in the audit log, if your account has one.
