Managing email signatures for many client tenants
An MSP's guide to email signature management across many Microsoft 365 tenants: onboarding, access your clients control, billing and the jobs to avoid.
What does email signature software actually cost in the UK? Most products for Microsoft 365 charge per user per month. On an annual plan, Exclaimer's published UK prices run from £0.70 to £1.35 per user per month, CodeTwo's work out at roughly £0.55 to £0.92, and Footer365's run from £1.00 for a single user down to £0.40 between 1 and 999 users, depending on size (all checked October 2026, excluding VAT). This post works those prices out for 50, 250 and 500 users, and lists what the headline price does not tell you.
Every figure below is taken from each company's own pricing page in October 2026, per user per month, on an annual plan, excluding VAT. Prices change, so check the pages before you decide.
Exclaimer's pricing page shows UK visitors its prices in British pounds. It lists three published plans and an Enterprise plan priced on request: Starter at £0.70, Standard at £0.95 and Pro at £1.35 per user per month, billed annually, with a minimum of ten users. The plans include different features. According to Exclaimer's own comparison table, Starter has one signature template and no targeting rules, Standard adds unlimited templates and targeting, and Pro adds the usage dashboard and audit log.
CodeTwo's pricing page lists one plan with every feature, priced by the number of users and the billing term. It sells in US dollars and euros only, with no sterling price, so we have converted its dollar prices at the Bank of England spot rate for 30 September 2026, 1.3285 US dollars to the pound. On a yearly subscription its per-user monthly rate is USD 1.21 (about £0.91) at 50 users, USD 0.91 (about £0.68) at 250 users and USD 0.73 (about £0.55) at 500 users. Above 500 users it asks you to request a quotation. A CodeTwo customer in the UK pays in dollars or euros, so the sterling cost moves with the exchange rate.
Footer365 publishes every volume band in pounds on its pricing page, with no "contact sales" step until 1,000 seats. Footer365 is one product with every feature, so banner campaigns, A/B tests, click tracking and analytics are included for every user. On a 12-month term, invoiced monthly, it is £0.60 per user at 50 to 99 seats, £0.42 at 250 to 499 and £0.40 at 500 to 999.
Monthly cost on an annual plan, multiplying the published per-user rate by the number of users, in pounds sterling excluding VAT, checked October 2026. CodeTwo's column is converted from US dollars at the rate above.
| Users | Exclaimer Standard | Exclaimer Pro | CodeTwo | Footer365 |
|---|---|---|---|---|
| 50 | £47.50 | £67.50 | £45.54 | £30.00 |
| 250 | £237.50 | £337.50 | £171.25 | £105.00 |
| 500 | £475.00 | £675.00 | £274.75 | £200.00 |
Exclaimer Starter is left out of the table because, with one template and no targeting rules, it does a different job from the others. At its £0.70 it would be £35.00, £175.00 and £350.00 a month at the three sizes.
Three things stand out. Exclaimer's published rate is the same per user at every size, so the bill grows in a straight line, while CodeTwo's and Footer365's fall as the user count rises. The gap between Exclaimer's own tiers is as large as the gap between suppliers, which is why the tier you need matters more than the brand. And the fairest comparison is between products with similar features: Footer365 includes campaigns and engagement figures for every user, so set it against Exclaimer Pro or CodeTwo rather than against a cheaper tier without them.
Before comparing quotes, ask each supplier the same questions:
The cheapest line in a table is only cheaper if it does what you need. Write down the three or four features you would miss most, find the lowest tier of each product that has them, and compare those prices. Our comparison page sets out the features side by side, and the Footer365 free trial runs for 30 days with no card, so you can test before you price it up.
