Removing Footer365 from your tenant
What Footer365 removes from Exchange Online when a subscription ends, how to revoke its access by deleting the enterprise application, and what to check afterwards.
Leaving Footer365 is two separate things: ending the subscription, which takes Footer365 out of your mail flow, and revoking Footer365's access to your tenant, which only you can do. Do them in that order.
If you only want to stop Footer365 routing your mail, and keep signing with the Outlook add-in, you do not need to leave: a Super Admin can remove mail flow from Getting started. Using the Outlook add-in only
1. End the subscription
A Super Admin cancels from Account, then Cancel subscription, in the portal. The page explains under What cancelling means for you when your last day of service will be. If your subscription is billed through a reseller, the page says Billed through your reseller, shows their contact details, and the cancellation is made through them. Billing detail is in Cancel your subscription.
When the subscription ends (straight away for a subscription that has not started paying yet, otherwise on your last day of service), Footer365 does the following in your Exchange Online organisation:
- Turns people's own Outlook signatures back on, by reversing the roaming signatures and Outlook on the web settings described in What Footer365 creates in Exchange Online. This is done whether or not you had chosen to turn them off.
- Removes both transport rules,
Footer365 External RoutingandFooter365 Internal Routing. From this point your mail no longer goes to the relay. - Deletes both connectors,
Footer365 OutboundandFooter365 Inbound, once both rules are confirmed gone. - Checks that no rule or connector with those names remains.
Each step is believed only when Microsoft 365 confirms it. A step that is not confirmed is tried again every day until it is, and the Cancel subscription page shows the removal as in progress meanwhile. Each step and its result is recorded in your audit log, and your account owner and technical contact are emailed the list.
If Footer365's access to your tenant has been removed before the subscription ends, none of this can be done. The email then lists what to remove by hand, and the steps are those in "Tidy up Exchange Online" below.
If your organisation uses the Outlook add-in only, Footer365 has nothing in your Exchange Online to remove, unless something is left from an earlier spell of mail flow. Each step is then recorded as nothing to do, and the add-in simply stops adding signatures.
Footer365 does not change back the two organisation settings it may have switched on for the Outlook add-in: event-based add-in activation and modern authentication. Other add-ins and apps may rely on them, so leave them unless you are sure they are not needed.
2. Remove the Outlook add-in
If you deployed the add-in, remove it in the Microsoft 365 admin centre under Settings, then Integrated apps, so its button no longer appears in Outlook.
3. Revoke Footer365's access
Footer365 holds no permission to delete its own app from your tenant, so this step is yours. In the Microsoft Entra admin centre, go to Enterprise applications, open Footer365, and delete it from its Properties page.
Deleting the enterprise application removes, in one go:
- the permissions granted in step 1 of the setup wizard, including
Exchange.ManageAsApp; - the Exchange Administrator role assignment made in step 3, if your organisation ever used mail flow, which belongs to the application;
- any delegated approval recorded when the role was granted.
If you turned on write-back to Entra ID for staff self-service, delete Footer365 Directory Write from Enterprise applications as well. It is a separate application with its own permission, so deleting Footer365 does not remove it.
End the subscription and let the rules be removed before you delete the enterprise application. Once the application is gone, Footer365 can no longer change anything in your Exchange organisation, so any Footer365 rules still in place stay there and keep routing your mail to the relay. If that has already happened, remove the Footer365 objects yourself as described below.
4. Tidy up Exchange Online
Once the Cancel subscription page shows the removal as done, there is nothing left to tidy up.
If you are removing everything yourself, for example because the enterprise application was deleted first, do it in this order:
- Delete the transport rules
Footer365 External RoutingandFooter365 Internal Routing(Mail flow, then Rules). - Then delete the connectors
Footer365 OutboundandFooter365 Inbound.
The rules must go first: Exchange will not delete an outbound connector while a rule still routes mail to it, and removing the connectors while the rules are active would leave mail with nowhere to go.
5. Check afterwards
- Send a test from a mailbox that used to be signed to an external address. The received message should have no
X-Footer365-Relay-Idheader. - No Footer365 objects remain under Mail flow, then Rules and Connectors.
- SPF. Once no mail goes through Footer365, remove
include:_spf.footer365.netfrom each domain's SPF record. Remove it only after the rules are gone. With the Outlook add-in only it was never needed, so there may be nothing to remove. See SPF, DKIM and DMARC. - Outlook signatures. If you had turned people's own signatures off, confirm they can set one again in Outlook on the web and the new Outlook. If you turned them off yourself with the Outlook add-in only, Footer365 did not turn them back on, so run the commands again the other way round, as Using the Outlook add-in only describes. Classic Outlook for Windows is controlled by your own Group Policy or Intune settings, which Footer365 never changed; undo any you added.
- Enterprise applications no longer lists Footer365, nor Footer365 Directory Write if you used write-back.
Your data
On the same day, Footer365 stops reading your Microsoft 365 directory and stops receiving its change notifications, so no new data is collected.
Your data is then kept for 30 days so you can export it, and your account and its data are deleted within a further 30 days. The Cancel subscription page shows Export your data until and Account and data deleted on. A Super Admin can delete the account sooner with Delete our account and data now on the same page. See Cancel your subscription.
The deletion removes your directory data, portal users, signature content, processing record and account from the live system. Invoices and the record of what your organisation agreed are kept for the periods the law requires, then deleted. See Data and privacy.
