Setup guide

Get Footer365 live in minutes

There is nothing to install and no Exchange scripting. A Microsoft 365 Global Administrator grants consent once, mail flow configures itself, and your signature starts appearing on every outbound email, from every device.

Before you start: the one-time approval must be done by a Microsoft 365 Global Administrator for your organisation. If that is not you, add your IT administrator as the technical contact during sign-up and we will email them the setup link. The whole process takes about ten minutes, most of which is Microsoft propagating the change.

Open the setup link

We email a secure setup link to your technical contact. Opening it starts the guided connection wizard for your organisation. You can also reach it later from your dashboard - the trial keeps running until it is completed.

3

Grant admin consent

A Global Administrator signs in with their existing Microsoft work account and approves Footer365 on the standard Microsoft consent screen. We request only the least-privilege permissions needed to read your directory and manage mail-flow connectors - we never see or store passwords, and consent can be revoked at any time.

Turn on mail flow

Still signed in, the administrator grants the Exchange Administrator role with one click on the wizard's mail-flow step. Footer365 then configures Exchange Online automatically - inbound and outbound connectors and the transport rule - and verifies them across your tenant.

This is fully automated. There are no PowerShell scripts to run and no connectors to build by hand.

Design your signature

In your dashboard, build your company signature in the drag-and-drop editor - logo, contact details, social links, disclaimers and marketing banners. Assign signatures to everyone, or target them to specific users and groups with rules.

You are live

Signatures are injected server-side into every outbound email, on desktop, web and mobile, with no user action. Nobody needs to install anything.

Optionally, deploy the Outlook add-in so people can preview their signature while composing. It rolls out from your dashboard to everyone, selected groups, or named users.

Questions

Common setup questions

Do our users need to install anything?
No. Signatures are added server-side as email leaves your organisation, so they appear on every device and app automatically. The optional Outlook add-in is only for previewing while composing, and you deploy it centrally - users do not install it themselves.
What permissions does Footer365 request?
Only what is needed to read your directory (to build signatures) and to manage the mail-flow connectors and transport rule that inject them. We do not read or retain the body of your messages beyond adding the signature. See the security page for detail.
Why does it need a Global Administrator?
Granting admin consent and enabling mail flow in Exchange Online are tenant-level changes that only a Global Administrator can approve. This happens once during setup. Day-to-day signature management does not need admin rights.
How long until signatures start appearing?
Mail flow is usually live within a few minutes of consent. Once your signature is designed and assigned, it starts appearing on the next outbound email.
How do we remove Footer365?
You can disable the service at any time, which removes the mail-flow rule so email routes normally again, and a Global Administrator can revoke consent from Microsoft Entra. Your users' own Outlook signatures are restored when the service is switched off.
